If you want to know how to use ChatGPT for Excel, the short answer is: install the official ChatGPT add-in from Excel's Home → Add-ins menu, sign in with your ChatGPT account, and type what you want in the sidebar ("build a monthly budget", "why is cell B145 an error?"). ChatGPT reads your workbook, proposes changes, and asks before it edits. If you can't install the add-in, you can still paste a small table into regular ChatGPT and ask it to write the formula for you.

This guide covers both routes, step by step, with prompts you can copy, the mistakes to avoid, and what the add-in can't do yet.

What "ChatGPT for Excel" actually is

OpenAI now ships an official add-in called ChatGPT for Excel and Google Sheets. According to OpenAI's help article, it is "a spreadsheet-native AI experience that lives in a sidebar" inside your workbook. It can:

  • build new spreadsheets from a plain-language description, with formulas and formatting,
  • answer questions about an existing workbook, including multi-tab files,
  • explain formulas and find and fix errors,
  • clean up messy sheets (labels, duplicates, formatting),
  • update a model when your assumptions change and summarize what changed.

OpenAI's product page also says it links its answers to the cells it references, preserves your formulas and formatting, and asks for permission before making changes.

Two things worth knowing before you start:

  • Who can use it: OpenAI's help article lists it as available globally to Free, Go, Plus, Pro, Business, Enterprise, Edu and K-12 users. Free and Go get limited usage; Plus and Pro use count against the plan's agentic usage limit. If you're deciding between plans, our ChatGPT Free vs Go vs Plus comparison breaks down the differences.
  • It's separate from normal ChatGPT: spreadsheet chats don't sync with your main chat history and don't use ChatGPT memory.

How to install ChatGPT in Excel (step by step)

These are the steps from OpenAI's help page. They work in Excel desktop and Excel on the web.

  1. Open Microsoft Excel.
  2. Go to the Home tab.
  3. Click Add-ins.
  4. Search for ChatGPT (the publisher is OpenAI, listed on the Microsoft Marketplace).
  5. Add it, then open ChatGPT from the ribbon.
  6. Sign in with your ChatGPT account.

Work computer? If your company blocks the store, a Microsoft 365 admin can deploy the add-in internally. Ask IT instead of trying workarounds.

Google Sheets version

Same idea: install ChatGPT from the Google Workspace Marketplace, open Google Sheets, then open ChatGPT from the Extensions menu and sign in.

7 practical ways to use ChatGPT in Excel

Here's where it earns its place. Each example is a prompt you can type into the sidebar.

1. Write a formula from a plain-English description

"In column F, return the price for each product code in column A by looking it up in the Prices tab. If the code is missing, show 'Not found'."

A good answer here is an XLOOKUP with the "if not found" argument filled in. Always ask it to tell you which cells it used, then click one result and check it by hand.

2. Fix a broken formula

"Why am I getting an error in cell B145? Explain the formula chain and propose a fix."

This is one of OpenAI's own sample prompts. It's useful because errors often start several cells upstream, and tracing them by hand is slow.

3. Explain someone else's spreadsheet

"Explain what this workbook does, which tab holds the inputs, and which formulas drive the totals."

Great for a file you inherited from a coworker or a client.

4. Clean messy data

"Clean up this sheet: standardize formatting, fix inconsistent labels, and remove duplicates. Don't touch the Summary tab."

Notice the last sentence. Telling it what not to change matters more than you'd think.

5. Build a sheet from scratch

"Build a formatted monthly budget with categories, totals and a chart."

Or a project tracker with owners, deadlines and status. It's a fast way to get a working first draft that you then adjust.

6. Summarize data across tabs

"Summarize trends across these three tabs and call out anything unusual."

You can @-mention specific sheets in your prompt to keep it focused on the right data.

7. Run what-if scenarios

"Create a new scenario tab that compares base, upside and downside cases."

Handy for pricing a side business or planning a budget. Treat the result as a model to check, not as advice; OpenAI itself notes ChatGPT is not a financial, legal or tax advisor.

How to write prompts that don't wreck your workbook

OpenAI's help article gives three tips, and they're the right ones:

Tip Example prompt
Say what to change and what to keep "Update assumptions on the Inputs tab only. Don't change formatting. Summarize changes."
Ask for a plan before big edits "Before editing, outline exactly which tabs and ranges you'll modify."
Point at the right sheet Use @ to mention the sheet you mean.

Add two habits of your own:

  • Duplicate the file first for anything important, so you can roll back. OpenAI recommends this too.
  • Spot-check three random rows after any change. If those are right, the formula is probably right; if one is wrong, ask ChatGPT to explain that exact row.

No add-in? Use regular ChatGPT for Excel formulas

If you're on an older Excel or a locked work laptop, the classic method still works:

  1. Copy your column headers and 5–10 sample rows (remove names, emails or anything private).
  2. Paste them into ChatGPT and say which version of Excel you use.
  3. Describe the result you want: "Total sales per region in column H for orders after 1 October."
  4. Ask for the formula and a one-line explanation of each part.
  5. Paste it into Excel and check it on a row you can verify by hand.

For the example above you'd typically get a SUMIFS formula. If a lookup might fail, ask it to wrap the formula in IFERROR so the sheet shows a clean message instead of #N/A.

The downside: regular ChatGPT can't see your real workbook, so it guesses at your layout. The add-in removes that guesswork.

Limits and privacy: what to know first

From OpenAI's own "current limitations" list:

  • VBA and macros may not be fully supported. If you need a macro, ask for the code and test it on a copy.
  • Outputs can be incomplete or wrong. Review formulas, calculations and changed cells before you share the file.
  • No memory of your other ChatGPT chats inside the spreadsheet.
  • Usage limits apply, and bigger workbooks with multi-step edits use more of them.

On privacy, OpenAI says it processes your prompt, attachments and the relevant spreadsheet context to respond, that some data logs may be stored for 30 days for safety and integrity, and that Microsoft's add-in terms may allow Microsoft to read workbook content. In plain terms: don't put client data, passwords or anything confidential into it unless your company has approved the tool.

Can this help you earn? A realistic view

Spreadsheet skills are a real freelance service: data cleanup, dashboards, budget templates and small automations are common requests on freelance marketplaces. ChatGPT doesn't replace knowing Excel, but it makes you faster at the boring parts, so you can take on small jobs and deliver them sooner. Start by rebuilding something you already use (your own budget, a stock list for a family shop) and keep it as a portfolio sample.

FAQ

Is ChatGPT for Excel free?

OpenAI lists ChatGPT for Excel and Google Sheets as available to ChatGPT Free and Go users with limited usage. Plus and Pro users get access subject to their plan's agentic usage limit.

Where do I find the ChatGPT add-in in Excel?

Go to Home → Add-ins, search for "ChatGPT", add it, then open it from the ribbon and sign in with your ChatGPT account.

Can ChatGPT write Excel formulas?

Yes. Describe the result you want in plain English and ask for the formula plus an explanation. With the add-in it can see your workbook; without it, paste a few sample rows so it knows your columns.

Does ChatGPT for Excel work with macros?

Not fully. OpenAI says VBA and macros may not be fully supported, so test any macro code on a copy of your file.

Is it safe to upload my spreadsheet?

Only share data you're allowed to share. OpenAI says some data logs may be kept for 30 days for safety, and Microsoft's add-in terms may let Microsoft read workbook content. Remove private details first.
