If you want to know how to use Gemini in Google Sheets, here's the short version: open a spreadsheet on your computer, click Ask Gemini at the top right, and type what you want in plain English, like "create a table to track my freelance invoices" or "highlight every row where the amount is over 500." For work inside cells, type =AI("your instruction", A2) and click Generate and insert.
There's one catch: Gemini in Sheets isn't part of every free Google account. Google says it needs an eligible Google Workspace plan or Google AI plan. Below you'll find exactly where the buttons are, what Gemini can do in a sheet, copy-paste prompts for real tasks, and the limits worth knowing before you trust its output.
What you need before you start
Google's help page for Gemini in Sheets says the feature "requires an eligible Google Workspace or Google AI plan." In practice that means one of two routes:
| Route | Who it's for | What Google's page says |
|---|---|---|
| Google AI Pro (personal account) | Freelancers, students, side hustlers | Includes "Gemini in Gmail, Docs, and Sheets." US price shown: $19.99/month or $199.99/year |
| Google AI Ultra (personal account) | Heavy AI users | Also includes Gemini in Gmail, Docs, and Sheets. US price shown: $99.99/month |
| Google Workspace business plans | Teams and companies | Google's admin docs list Gemini in the side panel of Gmail, Docs, Sheets, Slides, Drive and Chat |
A few details from Google's own pages that save confusion:
- Google AI Plus is the old "AI Premium" plan under a new name. Its description on Google's plans page mentions Gemini helping you proofread in Gmail, while the Pro and Ultra descriptions are the ones that mention Docs and Sheets. Check the plan comparison before you pay if Sheets is the reason you're upgrading.
- Google also runs a trusted tester program, Google Workspace Experiments, through which some features become available early.
- Prices change and differ by country. The numbers above are the US prices on Google's plans page on the day we checked.
Tip: Gemini works best with native Google Sheets files. If you have an Excel file (.xlsx), Google says to use File > Save as Google Sheets first.
How to open Gemini in Google Sheets
- On your computer, open a spreadsheet in Google Sheets.
- At the top right, click Ask Gemini (the spark icon).
- A side panel opens. Pick a suggested prompt or type your own at the bottom.
- Press Enter.
- When you like the result, click Insert to put it in your sheet. Click Retry for a different version.
If your file has several tabs, you can use the dropdown in the prompt box to tell Gemini which tabs to look at.
Two keyboard shortcuts from Google's help page are worth memorizing:
| Action | Windows / ChromeOS | Mac |
|---|---|---|
| Summarize the spreadsheet | Ctrl + Alt + N | ⌘ + Ctrl + N |
Generate a formula (start from a cell, type =) |
Ctrl + Alt + G | ⌘ + Ctrl + G |
One thing that catches people out: the side-panel conversation disappears when you reload the browser, close and reopen the file, or go offline. Insert anything you want to keep.
7 things Gemini can do in your spreadsheet
According to Google's help center, Gemini in Sheets can:
- Create tables from a description ("a content calendar for 4 weeks with columns for topic, platform, status and publish date").
- Create formulas from plain English ("a formula that divides revenue by orders").
- Fix formula errors. Hover over a cell showing an error and click Fix.
- Analyze data and build charts from what's already in the sheet.
- Summarize a whole spreadsheet, or your related emails and Drive files.
- Edit the sheet for you: conditional formatting, pivot tables, dropdowns and checkboxes, sorting and filters, find and replace, number formats, inserting or freezing rows and columns, and formatting a table.
- Do several of those at once. Since an update Google announced in October 2025, one prompt can chain multiple actions, for example adding dropdowns, a formula column and a checkbox column and freezing the header row in one go.
If you used ChatGPT for Excel formulas, the difference is that Gemini can apply the change inside your file, rather than giving you a formula to paste.
Copy-paste prompts for real work
Here are prompts built for the kind of sheets people actually keep. Replace the column names with yours.
Turn a messy list into a tracker
"Turn this list into a table with columns for Client, Service, Price, Status and Due Date. Add a dropdown for Status with Not started, In progress and Done, add a checkbox column called Paid, and freeze the header row."
Clean up data in one prompt
"Delete every row where Status is Archived, replace 'Web Hosting' and 'Software' with 'IT', and sort by Due Date, oldest first."
Find the numbers that matter
"Highlight in green every row where Amount is above 500, then create a pivot table showing total Amount by Client."
Build a formula you can't remember
"Create a formula in column F that shows how many days are left until the date in column E, and shows 'Overdue' if the date has passed."
Get a plain-English summary
"Summarize this spreadsheet in 5 bullet points for someone who has never seen it. Mention the biggest and smallest values."
For more on phrasing, our guide to writing better ChatGPT prompts applies to Gemini too: say who it's for, what the output should look like, and give one example.
How to use the =AI() function in Google Sheets
The side panel is for one-off jobs. The AI function is for doing the same job on every row, like writing a product description for 100 products or tagging 300 customer comments.
Google's syntax is:
=AI("prompt", [optional range])
You can type =AI() or =Gemini(). Here's how to use it:
- Click a cell and type a function, for example
=AI("Write a one-sentence summary of this customer's feedback", A2:D2). - Or go to Insert > Function > AI at the top of the sheet.
- Select the cell (or cells) with the function and click Generate and insert.
- Drag it down the column like any formula, then generate again for the new rows.
- To get a new answer later, click Refresh and insert.
Google lists four kinds of jobs it's built for:
| Job | Example |
|---|---|
| Generate text | =AI("Write a 10-word slogan for this event", A2) |
| Summarize | =AI("List the main themes of this review in bullet points", D2) |
| Categorize and analyze sentiment | =AI("Classify this message as a compliment, exchange request or return request", C2) |
| Get current information from Google Search | =AI("What is the capital of this country?", A2) |
When the answer comes from the web, hover over the cell and click Sources to see where it came from. If your sheet uses tables, you can also click Insert AI column at the top right of the last column: you set up the function once in the first row, then autofill it down the column.
Limits you should know
Google is upfront about what the AI function can't do:
- Responses are text only.
- It only sees what you pass it in the range. It can't read the rest of your spreadsheet or other files in Drive, so always include the cells it needs.
- You can't undo or redo the function; you regenerate instead.
- Nested AI functions don't work, so something like
=IF(AI(...), ...)isn't supported. - If you see "AI function not available," you're probably not on a plan that includes it, or you aren't in the Workspace Experiments program.
- If you build a prompt by joining cells with
&, Sheets won't prompt you to refresh when those cells change. Refresh it yourself when your data changes.
And the general rule for any AI in a spreadsheet: check the numbers. Gemini can write a formula that looks right and points at the wrong column. Spot-check a few rows by hand before you send a report to a client or a boss.
Ways to use Gemini in Sheets for a side business
Spreadsheets are where small online businesses actually live. A few setups where Gemini saves real time:
- Freelance pipeline: a client tracker with status dropdowns, a "days until due" formula and a paid checkbox, built from one prompt.
- Product listings: one row per product, and an
=AI()column that drafts a short description from the product name and features. Edit before publishing. - Customer feedback: paste survey or review text in one column and classify each line as positive, negative or neutral.
- Content planning: a 30-day posting calendar for YouTube Shorts or a blog, with topics you then check against real search suggestions.
- Budget tracking: our step-by-step guide on using ChatGPT for budgeting works just as well with Gemini once your transactions are in a sheet.
If you want to turn those leads and products into a simple funnel with email follow-ups, systeme.io has a free plan, and our systeme.io sales funnel guide walks through it.
FAQ
Is Gemini in Google Sheets free?
Not on a regular free Google account. Google's help page says Gemini in Sheets requires an eligible Google Workspace or Google AI plan. On personal accounts, Google's plans page lists "Gemini in Gmail, Docs, and Sheets" for Google AI Pro and Ultra.
Why don't I see the Ask Gemini button in Sheets?
Usually your account isn't on an eligible plan, or you're on a work or school account whose plan doesn't include it. Also note that Google's steps for the side panel start "on your computer," so look for it on the desktop site.
What's the difference between =AI() and =Gemini()?
None in practice. Google's help page says you can use either "=AI()" or "=Gemini()" for the same AI function.
Can Gemini read my whole spreadsheet?
The side panel can work across your sheet and the tabs you select. The AI function can't; it only uses the prompt and the range you give it, so include every cell it needs.
Can I use Gemini on an Excel file?
Yes, after converting it. Google recommends File > Save as Google Sheets, since Gemini works best with native Sheets files.
Is Gemini better than ChatGPT for spreadsheets?
They're good at different things. Gemini works inside your Google Sheet and can apply changes directly; ChatGPT is handy for explaining formulas and analyzing uploaded files. See our ChatGPT vs Claude vs Gemini comparison for the bigger picture.
